Enter description of folders or files

If you want to clarify which documents should be saved in a certain folder or if you want to enter a description of a particular file you are working with, you can click on the details of the selected item. Enter a description for a folder or file. Note: 1. Descriptions on items under the Common Files directory are visible to other users on the same account you enter descriptions. 2. Descriptions are never shown if you share a file or folder via public links. 3. Descriptions are visible internally to all users but can only be changed by those with write access.

Accessing versions of files

Storegate creates a file version every time you: - Edit a file in the web interface via locally installed Office or via Microsoft Office Online. - Editing or uploading an Office file via Storegate Cloud folder (behavior may vary from different software providers). - Uploading one or more files with the same name in the web interface - Uploads one or more files via WebDAV - Creates a new version locally which is then backed up via Storegate Online Backup. When this happens, we keep track of older versions of files so that you can restore to an earlier version of the desired file. You can download and preview different versions of your files at any time. Default setting for business accounts is 5 versions of each file. The administrator of the account can change up to 100 versions of each file. The versions are kept in their original form and therefore take up extra space in the account. To restore a previous version of a file, log in to the web interface and locate the file. Then click on the version clock symbol and select the version you want to download. Known limitations: - If you use the web interface to copy or move a file/folder, you are given the option to "overwrite" the content to the "target". In this case, no versions from the "target" are retained. - If the file being overwritten is 0 bytes, it is not saved as a version. - If the file being overwritten is saved/uploaded by the same user and it was less than 1 minute since it was saved/uploaded, it is not saved as a version. - Software in the iWork suite (Pages, Numbers and Keynotes) in macOS does not create versions.

Locking files in Storegate

Storegate locks a file every time you: - Editing a file in the web interface via the locally installed Office package. - Edit a file in the web interface via Microsoft Office Online (the lock allows multiple users to co-edit a document in Office Online but not via other protocols). - Edit a file in the Office package via the Storegate Cloud folder. Unique lock per user as long as the file is open. - Putting a custom lock on a file in the web interface - Editing a file via the WebDAV protocol NOTE. Software such as Bluebeam, Revu, AutoCAD and Adobe Acrobat handle locking differently and may require you to shut down the entire program to release the file lock so the file can be written to the Storegate. Usually it is the programs' lists of recent files that hold the lock and the function should therefore be disabled. Contact the respective software manufacturer for specific instructions. Known limitations: Software in the iWork suite (Pages, Numbers and Keynotes) on macOS does not take locks.

Save Office files directly to Storegate

When you're working in Office and you're saving files, the default location to save is usually local to My Docs or OneDrive. As a Storegate customer, you can add Storegate as a default path to save your Office files to your sync folder or directly to the cloud. Follow these steps to make changes: 1. Open one of your Office programs (Word, Excel or Powerpoint) and then press "File". 2. Then select "Options" at the bottom of the left menu and afterward, click "Save" in the new box that appears. 3. Under "Local File Path by Default", select Browse and select the desired path you want as the default, i.e., the path to the folder of the Cloud Folder. 4. Press OK to save the change. Clearly!
